Surple Factory is a business system, provided by Surple, Inc., that manufacturers use to run purchasing, inventory, production, sales and accounting. It is not a consumer service: each company has its own workspace, kept separate from every other company's, and staff accounts are created by that company's administrator.
What we hold
- Account data — your name, email address, optional phone number, preferred language, and the roles an administrator has granted you.
- Business records you create — purchase orders, goods receipts, stock movements, production records, quality inspections, sales orders, invoices, bills, payments and journal entries.
- An audit trail — for each change, which account made it, when, and the values before and after. This is what makes the accounting records trustworthy and is central to how the system works.
- Error reports — if the app fails, a diagnostic report may be sent to the company's monitoring endpoint. Credentials and personal fields are removed before a report leaves the device.
What we do not do
We do not sell your data, use it for advertising, or profile you. There is no third-party analytics or advertising SDK in the app. Location is never collected.
Where it is stored
Data is held in a Supabase (PostgreSQL) database operated for the company's workspace. The mobile and web apps keep a local copy on your device so you can keep working without a network connection; it syncs when the connection returns. Signing out or deleting the app removes that local copy from your device.
Who can see it
Access is enforced by the database itself, per role. Warehouse staff cannot read the ledger, and staff without finance permissions cannot see costs or prices. Only an administrator can change who holds which role.
How long we keep it
Accounting and traceability records are retained for as long as the law requires the company to keep its books, and for product traceability obligations. This applies even after an account is closed, because the records belong to the company's books rather than to an individual.
Deleting your account
You can request deletion from Settings inside the app. Your access is revoked immediately and an administrator is notified to complete removal of your personal details. Business documents you posted stay in the company ledger, as described above; they remain attributed to your account identifier so the audit trail is not broken.
Your rights
You may ask for a copy of the personal data held about you, ask for it to be corrected, or ask about how it is used. Contact your company administrator, or the address below.
